Identifying Business Processes for Business Units
1. As discussed in the BCM Workshops, we need to standardise and streamline information for the Business Impact Analysis (BIA) questionnaire to make it easier and quicker to complete. One of the most strategic and difficult areas to do this is when identifying the major business processes undertaken by each business unit.
2. To make this step more manageable we've developed a form to help provide the business process information automatically for the BIA questionnaire.
The form is designed to be completed once for each business unit. It should take between 5 and 10 minutes to complete, depending on the number of key responsibilities and business processes.
A record of your response will be automatically generated and emailed to you as a working report for your records.
3. When all business units across the department have submitted their lists of business processes they will collectively be validated, and a final record will be issued for each business unit. Any major classification issues arising for your business unit will be discussed with you. After business process validation across the department, the second stage of the Business Impact Analysis data acquisition and reporting will start.

BEFORE YOU BEGIN
For a Business Unit, confirm key responsibilities, and for each responsibility identify and list the major supporting business processes
In recording these, you may have up to 4 key responsibilities, and each may have up to 10 business processes (although the preference is lean and mean!)
TO RECORD YOUR BUSINESS PROCESSES FOR YOUR BUSINESS UNIT
- Open the form, record your name and contact information – the person entering the information so we can confirm or ask questions. This person will also receive the automated report showing the information entered.
- Navigate by selecting your Division first, and then select your Business Unit
NB: FInding Regions: Although regions manage all departmental functions, they report organisationally to the Deputy Chief Executive, Strategic Policy and Governance. For this questionnaire regions are found under Strategic Policy and Governance, with the exception of the Darwin Region which reports through Territory Housing Programs and Performance.
If you cannot find your business unit please contact Helena.
- After you select your business unit, you will be asked to record the FIRST key responsibility for this Business Unit.
You have up to 10 fields to enable you to record the MAJOR business processes supporting your Business Unit in carrying out this responsibility. You do not have to use all of them! The focus is defining the minimum core set of business processes essential to this Unit’s function.
If you have any comments or difficulties in classification, a comments field is provided for the responsibility.
- You will be asked to repeat this process for up to 3 more key responsibilities - making 4 in total
When you do not have any more key responsibilities, then simply select NEXT on each page, moving through to the last page
From the last page click SUBMIT to automatically send your response.
- If you have more than one business unit in your branch or are completing the form for more than one business unit, use a new form for each unit.
PLEASE COMPLETE YOUR INFORMATION FOR EACH BUSINESS UNIT IN ONE SESSION
Each response is securely sent in one single compressed file for automatic collation. Do not cancel out or your information will be lost. You can leave the web form open on your screen for up to 4 hours, but given server refreshes its preferable to complete your recording for a business unit as expediently as you can.
The key to efficiency is having your thinking clear at the start and simply using your form to record your processes.
REPORTING AND YOUR INFORMATION
This information is preparatory for the BIA and is part of defining its inputs. A report for your list of business processes for each business unit is generated and emailed to you, and any queries will be referred to you. The processes for your business unit/s will be confirmed with you.
